How to Enable the Xanatek Activity Data Sync With Fuse

Learn how to configure your Xanatek integration for a two-way sync between your management system and Fuse.

Fuse offers writeback capabilities between Xanatek and your Fuse account. To enable Fuse to write activities as Notes into Xanatek, you'll first need to gather your agency's unique License Key.

Gather your Xanatek License Key

Before you enable Activity Data Sync, you need your agency's unique Xanatek License Key, which you can obtain from Xanatek Support. Keep this key handy for the setup steps in Fuse.

Enter the License Key in Fuse

To enter your Xanatek License Key in Fuse:

  1. Click Accounts in the left navigation bar.
  2. On the Accounts page, click the vertical three-dot (kebab) menu in the top-right corner.
  3. Select Manage List from the menu.
  4. Under Required Setup steps, click Setup Xanatek License Key.
  5. How you enter this key depends on whether your data is hosted by Xanatek or self‑hosted. If you're unsure whether Xanatek hosts your data, your agency principal or IT contact should be able to confirm. If there's any doubt, please contact Xanatek Support to confirm your hosting model.
    • If your data is hosted by Xanatek (this includes all Xanatek Connect agencies and some Xanatek IMS agencies), you must enter your License Key in Fuse with web- added to the beginning.
      • Example: 
        • Original License Key in Xanatek: 111111-222222-33333
        • License Key to enter in Fuse: web-111111-222222-333333
    • If your data is self‑hosted, enter the License Key in Fuse exactly as Xanatek provides it, with noweb- prefix.​


Once you complete this step and see a check mark next to Setup Xanatek License Key, you are ready to enable Activity Data Sync.

Turn On Activity Data Sync

To enable Activity Data Sync and control which activities sync back to Xanatek:

  1. Click Accounts in the left navigation bar.
  2. On the Accounts page, click the vertical three-dot (kebab) menu in the top-right corner.
  3. Select Activity Data Sync from the menu.
  4. At the top of the Activity Data Sync page, locate the Activity Data Sync toggle and switch it to the on position.

This enables writebacks from Fuse to Xanatek. You can then use the toggles next to each activity to choose which activities will sync.

Activities Enabled by Default

When you first turn on Activity Data Sync, the following activities are enabled by default to sync back into Xanatek:

  • Text Messaging - Conversation Archived
  • Text Messaging - Conversation Recorded
  • Email Clicked
  • Email Opened
  • Email Sent
  • Email Unsubscribed
  • Form Submitted
  • Email Sent to Invalid Address
  • Lead > New Lead Created
  • Lead > Send an Email
  • Lead > Attach a File
  • Lead > Conducted a Meeting
  • Lead > New note logged
  • Lead > Made a Phone Call
  • Postcard Sent​

You can toggle any of these off if they are not needed, and you can also enable additional activities.

Troubleshooting: Notes Not Syncing to Xanatek

If you've enabled Activity Data Sync and selected activities to sync, but Notes are still not appearing in Xanatek, follow these steps:

  1. Verify your Xanatek integration is syncing properly. Refer to the Xanatek and Fuse Sync Troubleshooting article for guidance.
  2. Check your License Key format in Fuse:
    • In Fuse, click Accounts in the left navigation bar.
    • On the Accounts page, click the vertical three‑dot icon in the top‑right corner and select Manage List.
    • Under the Required Setup steps, click Setup Xanatek License Key to view the key currently entered. If you're unsure whether Xanatek hosts your data, your agency principal or IT contact should be able to confirm. If there's any doubt, please contact Xanatek Support to confirm your hosting model.
      • Agencies whose data is hosted by Xanatek must use a License Key starting with web-
      • Agencies with self-hosted data must use the key without web-
  3. Contact Agency Revolution Support if your hosting type and License Key format are correct, but Notes still do not appear.

Full List of Activities That Can Sync

The following is the complete list of activities that can sync into Xanatek. Any of these can be turned on or off individually:

  • Account Created: When an account is created in Fuse from AMS data.
  • Tag Added By Sequence: When a Tag addition step is satisfied in a sequence to add a tag.
  • Tag Added By User: When a user manually adds a tag on the Fuse dashboard.
  • Tag Removed By Sequence: When a Tag removal step is satisfied in a sequence to remove a tag.
  • Tag Removed By User: When someone removes a tag from an account manually on the Fuse dashboard.
  • Email Clicked: When any provided link is clicked on in the email.
  • Email Dropped: The email is no longer being tried after numerous attempts to protect the sending reputation.
  • Email Hard Bounce: A hard bounce can happen for many reasons, such as incorrect DNS settings or the email is no longer accepting mail.
  • Email Opened: Whenever a sent email is opened. This will be logged each time the action is taken.
  • Email Sent: An email was sent from Fuse to this customer.
  • Email Soft Bounce: There was a seemingly temporary error, so Fuse will try to send the email again unless it ends in a hard-bounce.
  • Email Spam Complaint: The customer marked the email as “spam.”
  • Email Unsubscribed: The customer clicked the unsubscribe button on the email to unsubscribe from ALL emails sent from Fuse.
  • Form Submitted: Whenever a form is submitted, the form answers will be logged in the account logs.
  • Email Sent to Invalid Address: Fuse attempted to send an email to an email address that is no longer accepting mail.
  • Lead > New lead created: A new lead has been added to one of the established Pipelines.
  • Lead > Send an email: An email was logged for the Pipeline Lead.
  • Lead > Attached a file: A file was added to the Lead in Pipeline.
  • Lead > Conducted a meeting: A meeting was logged for the Lead in Pipeline.
  • Lead > New note logged: A note was added to the Lead in Pipeline.
  • Text Messaging - Conversation Archived: When a user manually clicks the "Archive Conversation" button while viewing a text conversation within Fuse, or after two weeks have passed, it is automatically archived.
  • Text Messaging - Conversation Recorded: When a user manually clicks the "Sync Messages to AMS" button while viewing a text conversation linked to an AMS account within Fuse.
  • Postcard Sent: The customer was sent a postcard.
  • Postcard Skipped - Invalid Address: The customer was supposed to be targeted, but when we did our final check, we found that the address was not valid when we ran it through the USPS database.
  • Sequence Subscribed: When the account is added to a sequence in Fuse.
  • Sequence Unsubscribed: When the account is removed from a sequence in Fuse.
